Responsibility for the rental of EUUC’s physical property resides in the Board of Trustees 

I.  Permitted Users

Church facilities may be available for use by EUUC Members, their immediate family members, non-profit organizations, and other members of the community.

  • Use of buildings by EUUC congregational members

Members (as defined in our By Laws)  may use the EUUC facilities, free of charge, for weddings and memorial services in which they, or their immediate family, are personally involved. However, other costs such as custodial fees, A/V assistants and Building Attendant fees shall be charged.

Member use for any other purpose, including wedding receptions, shall be charged a rental rate at the current rates charged for members. Members shall be responsible in all instances for any expense of setup or cleanup, use of A/V system and any other necessary congregational staff. Exceptions to this policy may be made at the discretion of the Board of Trustees or the staff as its agents. 

  • Use of buildings by local non-profit community service organizations in keeping with our non-profit purpose

Local non-profit community service organizations, needing space for an occasional open meeting, may use the space at a 50% reduction of the non-profit rental normal rental rates when sponsored by a member of EUUC. The member sponsor shall be responsible for returning facilities to acceptable condition and for any expense of setup or cleanup.  Said organization’s use must not interfere with or be detrimental to EUUC programs or activities, and shall not conflict with the mission and vision of the congregation.

  • Use of buildings for activities not related to our non-profit purpose

    • Not for Profit Activities

Space may be rented by non-profit organizations, provided that such use does not interfere with and is not detrimental to EUUC programs or activities, and does not conflict with the mission and vision of the congregation.

    • For Profit Activities

Chapman Hall, the narthex and the kitchen are areas which have been established as subject to property tax. Those areas may be rented to for-profit organizations or individuals, provided that such use does not interfere with and is not detrimental to EUUC programs or activities, and does not conflict with the mission and vision of the congregation.

II. Permitted Uses

  1. Suitable events include religious services such as weddings, memorials, and child dedication services, concerts, recitals, choir rehearsals, community activities, cultural events, private and public meetings, political forums, charitable benefits, and other uses deemed appropriate by the Board of Trustees.
  2. Preparation, serving, and consumption of food and beverages will be limited to the kitchen, Chapman Hall, the Narthex. Food may also be consumed outside.
  3. Smoking is not permitted anywhere on the grounds or within the premises.
  4. No animals other than service animals are allowed on the church property. See the church Animal Policy.
  5. The facilities shall not be made available to groups that discriminate on the basis of race, gender, religion, sexual orientation, or ethnicity.
  6. The serving and consumption of alcohol must be in accordance with our Alcohol_Policy_00016, state and local laws. If alcohol is to be served at an event, users shall:
    1. Also provide non-alcoholic beverages at all times
    2. Confine alcohol use to that which is provided by the official facilities user
    3. Designate one or more bartenders who will not drink alcohol during the event and who have successfully completed the Mandatory Alcohol Server Training (MAST) and possess a valid MAST permit. 
    4. Not serve or allow others to serve alcohol to a minor
    5. Not serve or allow others to serve alcohol to anyone who is obviously intoxicated
    6. Not allow anyone to take alcohol outside the event space
    7. Not allow alcohol to be served at an event that centers on person(s) less than 21 years old

      • Banquet Permit: Allows the service and consumption of liquor at a private, invitation-only banquet or gathering held in a public place or business. Banquet Permits are available online. Examples include weddings, company banquets, retirement parties, or club, organization or church events.
      • Special Occasion License: Allows a bona fide nonprofit organization to sell liquor at a specified date, time and place. Special Occasion License applications are available online.  Examples include a fundraising dinner, gala event, auction, or wine tasting.

III. Equipment and Supplies

  1. The church’s equipment and supplies may be used only by prior arrangement and may not be removed from the building.
  2. Only trained A/V Associates from EUUC may operate the sound system, including microphones, cameras, computers etc.
  3. Only church members may use the church’s dishes, flatware, linens, etc. In order to minimize waste and promote sustainability, the following are suggested best practices to be followed when utilizing or renting EUUC facilities:  Use of reusable silverware, plates and cups that can be washed and used again.  If it is necessary to use paper products, compostable products are preferable.
  4. Only qualified musicians may use the piano. The piano may not be moved.
  5. At the end of the event all equipment and supplies shall be returned to their proper places.

IV. Building Use Fees, Deposits, Reservations, and Cancellations

  1. Facilities Usage Fees will be requested in accordance with the schedule approved by the Board of Trustees (see Facilities Rates). The Board of Trustees, or the staff as its agents, may, on an exception basis, waive or reduce the fees depending on the nature of use and its affinity with the mission of EUUC. The schedule of fees reflects three separate groups of users of the facilities: EUUC members, Other Non-profits, and Others, including for-profit organizations. EUUC Members should consult the church Wedding Services and Memorial Services Policies for additional information.
  2. All users of the facilities will be required to pay a deposit of $200, of which $150 is refundable if facilities are left as described in paragraph IV.E. and keys are returned. The remaining $50 will be used for facilities maintenance including janitorial services.
  3. To secure a reservation, non-members must pay a nonrefundable reservation deposit of 20% of the use fee.
  4. Full payment, including the $200 deposit, is due seven calendar days prior to the event.
  5. A schedule of rental fees shall be maintained by the Board of Trustees Finance Committee and shall be reviewed every other year starting from 2024, annually. A/V, Custodial and Building Attendant fees shall be quoted separately. Custodial fees shall be mandatory for Saturday night rentals. A deposit shall be required of the renter at the time the building is reserved. 
  6. The Board of Trustees and its staff reserve the right to cancel a use agreement if conditions for the use are violated or if the originally stated purpose of the event appears to be altered. If the Board cancels an agreement prior to an event, all deposits will be returned.

V. Conditions of Use

  1. Groups or individuals using the church facilities shall indemnify, defend, and hold harmless Edmonds Unitarian Universalist Church, its trustees, employees, agents, representatives, and contractors from any and all losses, costs, liabilities, damages, and expenses, including reasonable attorneys’ fees incurred in connection with the use of space. In addition, the Board of Trustees, at its sole discretion, may require that the user obtain comprehensive general liability insurance with a personal injury endorsement with a limit of not less than one million dollars ($1,000,000) per event and provide to EUUC a certificate of insurance which specifies the insurance limit and names Edmonds Unitarian Universalist Church as additional insured.
  2. The person who is financially responsible for the event, and who will be responsible for ensuring compliance with all requirements, must complete and sign a Facilities Use Agreement. Facilities Use Agreement forms are available online and in the church office.
  3. Rental time includes set up and clean up times. Access for set up and cleanup must be scheduled and stated on the Facilities Use Agreement.
  4. In consideration of our neighbors, facilities are not available before 8:00 a.m. and all activities must be ended by 10:30 p.m.
  5. Two responsible adults must supervise the activities of the youth under the age of 18. Supervisors will be listed on the Facilities Use Agreement 
  6. Users must replace all furniture and place all trash in receptacles. Spills should be cleaned as soon as possible. A clearly marked kitchen cupboard of cleaning supplies is available. Dishes should be washed, and arrangements made for laundering linens.
  7. Saturday users must leave facilities ready for Sunday morning activities on all parts of the campus.
  8. In the event of a scheduling conflict, priority will be given to church-related events.

VI. Security if no Building Attendant is required.

  1. In the rare circumstance that a Building Attendant is not required, arrangements for obtaining and returning keys to enter the facilities must be made with the Congregational Administrator. The Congregational Administrator will notify the Custodial team for post event cleaning. 
  2. A security checklist will be provided with the keys and must be followed when securing the buildings and grounds upon departure. Keys must be returned to the office within 5 working days after the event.
